Align Privacy Policy

Align is business workforce software. The organization providing Align to its workforce normally determines why employee information is entered and how it is used.
1. Scope
This Privacy Policy explains how HorizonMade Technology, LLC, doing business as HorizonMade (“HorizonMade,” “we,” “us,” or “our”), handles information associated with Align, the HorizonMade workforce operations and scheduling platform.
2. HorizonMade’s role
An employer, business, nonprofit, or other customer organization (“Customer”) may use Align to manage its workforce. For workforce information entered by a Customer, the Customer generally determines the purposes and means of processing. HorizonMade acts as a service provider or processor when it hosts or supports that Customer’s Align environment.
If Align is hosted on Customer-managed infrastructure, the Customer controls that infrastructure and HorizonMade may not receive the information stored there unless the Customer provides authorized access for support, maintenance, migration, or another approved purpose.
3. Information processed through Align
Depending on the Customer’s configuration, Align may process:
- Customer organization names, locations, departments, and account information;
- Administrator, manager, HR, leader, and employee accounts;
- Names, email addresses, telephone numbers, employee identifiers, roles, and contact information;
- Work schedules, shifts, availability, assignments, and coverage information;
- PTO, absence, attendance, and call-out information;
- Skills, qualifications, responsibilities, and training information;
- Pay, raise, bonus, productivity, employee-history, or other HR information when enabled by the Customer;
- Notes, reports, imports, exports, and Customer-provided records;
- Login, access, change-history, audit, usage, performance, and security logs;
- Device, browser, network, IP-address, and diagnostic information; and
- Support requests and communications.
4. How information is obtained
Information may be provided by:
- The Customer and its authorized administrators;
- Employees or other authorized users;
- Imports, integrations, or systems authorized by the Customer;
- Hosting, logging, security, or diagnostic systems; and
- Users who contact HorizonMade for support.
5. How information is used
Information may be used to:
- Provide, host, configure, maintain, and secure Align;
- Authenticate users and enforce role-based permissions;
- Create schedules, staffing views, coverage reports, and workforce records;
- Process Customer-authorized PTO, attendance, skills, training, payroll-related, or HR functions;
- Provide support, diagnose errors, and investigate security incidents;
- Maintain audit trails and prevent unauthorized activity;
- Administer licenses, hosting, billing, and customer relationships;
- Improve performance and reliability using aggregated or appropriately de-identified information; and
- Comply with legal obligations and enforce agreements.
6. Analytics, diagnostics, and communications
Align may process usage logs, crash information, performance information, and security events necessary to operate and protect the software. HorizonMade may use hosting, logging, infrastructure, or diagnostic providers acting under contractual restrictions.
Align does not currently provide integrated SMS notifications, payment processing, or automated email notifications. If these features are added, the applicable provider, contractual terms, and privacy disclosures will be updated before or when the feature becomes available.
7. Disclosure of information
Information may be disclosed to:
- The Customer and its authorized administrators, managers, HR personnel, leaders, and users according to Customer-selected permissions;
- Hosting, infrastructure, security, support, and technology providers acting for HorizonMade;
- Professional advisers and insurers subject to appropriate confidentiality duties;
- Government authorities or other parties when legally required or necessary to protect rights, safety, or security; and
- A successor in connection with a merger, acquisition, reorganization, financing, or sale of business assets, subject to applicable law and contractual obligations.
HorizonMade does not sell Align workforce information or use employee or HR information for consumer advertising.
8. Customer responsibilities
The Customer is responsible for determining what information is entered into Align, establishing lawful purposes for processing it, giving employees and users any required notices, obtaining required permissions, assigning appropriate access, and responding to workforce privacy requests.
Questions about an employer’s personnel decision, schedule, absence record, pay information, or use of Align should normally be directed to that employer or Customer organization.
9. Retention and deletion
Workforce information is retained according to the Customer’s instructions, configuration, agreement, legal obligations, and legitimate operational needs. Retention may differ between Customer-managed and HorizonMade-managed hosting.
When a hosted Customer relationship ends, HorizonMade will handle Customer information according to the applicable order, contract, export arrangement, backup schedule, and legal requirements. Some records may be retained when necessary for security, dispute resolution, financial records, or legal compliance.
10. Privacy requests
Employees and other workforce users should generally submit access, correction, or deletion requests to their employer or Customer organization. HorizonMade will reasonably assist hosted Customers in responding when required by contract or law.
Requests concerning information controlled directly by HorizonMade may be submitted using the contact information below. Identity and authority may need to be verified before a request is completed.
11. Security
HorizonMade uses reasonable administrative, technical, and organizational measures designed to protect information. These may include role-based access, authentication, logging, backups, encryption where appropriate, and access restrictions.
Customers using Customer-managed hosting are responsible for their server, network, database, backups, operating environment, credentials, security configuration, and authorized users. No system can be guaranteed to be completely secure.
12. Children
Align is business workforce software and is not directed to children under 13. Customers must not use Align to process children’s personal information unless authorized by HorizonMade and all applicable legal requirements have been satisfied.
13. International processing
HorizonMade is based in the United States. Information in a HorizonMade-hosted environment may be processed in the United States or another location identified through the applicable hosting or customer agreement, subject to applicable law.
14. Changes to this policy
HorizonMade may update this policy to reflect changes to Align, hosting, integrations, legal requirements, or information practices. The updated version will display a revised effective date. Material changes may also be communicated to affected Customers.
